The privacy policy below outlines how we collect and process your personal data when you: (i) use our website www.ashridesldn.co.uk; (ii) book one of our spin classes via our Eventbrite page; (iii) complete our physical activity readiness questionnaire/informed consent form; and (iv) sign up to our newsletter.

What information we collect, use and why

Contact data: 

  • When you make an enquiry via the “contact us” form on our website we will retain the contact information you have voluntarily provided when completing the form. 

  • Similarly, when you sign up for our mailing list or otherwise indicate that you would like to receive our newsletter, we will retain your name and email address, along with confirmation of your freely given consent.

  • When you book a spin class, Eventbrite provides us with confirmation of your booking which includes your name, email address, and confirmation of the payment method used.

Health data: 

  • When you book a spin class, we will ask you to complete our physical activity readiness/informed consent form. This records your name as well as whether or not you have any health conditions or other safety concerns that could mean that participating in physical activity is not safe or advisable. 

Technical data: 

  • We may also collect information about your device and usage of our website through cookies or similar technologies.

Usage data: 

  • We may also collect information about how you use our website.

We use the personal data we collect for the following purposes:

  • Making and managing spin class bookings;

  • Communicating with you about our services, promotions and events;

  • Improving our spin classes and services; 

  • Complying with legal obligations;

  • Recording the consent you have given us upon signing up for our mailing list; and 

  • Ensuring that it is safe for you to participate in physical activity.

Our lawful bases for the collection and use of your data

Our lawful basis for collecting or using the majority of the personal data we collect is consent. This means we have permission from you after we gave you all the relevant information. All of your data protection rights may apply, except the right to object. To be clear, you do have the right to withdraw your consent at any time. You can withdraw your consent at any time by emailing us at ashrideslondon@gmail.com.

Our lawful basis for collecting or using health data, as part of our physical activity readiness/informed consent form, is vital interests. This means that collecting or using the information is needed when someone’s physical or mental health or wellbeing is at urgent or serious risk. All of your data protection rights may apply, except the right to object and the right to portability.

Where we get personal information from

  • Directly from you; and

  • Third party service providers.

How long we keep information

Personal data associated with your spin class booking, including that shared with us by Eventbrite, is securely deleted shortly after the conclusion of the spin class in question, and the resolution of any related queries. 

Personal data collected via the “contact us” form on our website is securely deleted shortly after the resolution of your query.

Health data obtained via our physical activity readiness/informed consent form is retained for 6 years after your last spin class booking with us, to enable us to manage potential insurance claims that may arise.

Personal data associated with our newsletter is retained until you unsubscribe or otherwise inform us that you no longer give consent to be on our mailing list.

Who we share information with, and who shares information with us

We rent studio space from trusted third party service providers, where we host our spin classes. These third party service providers include Gymbox, Revolt Cycling, and East of Eden. 

We share guest lists (a list of names of those people who are booked to attend the spin class in question) with third party service providers ahead of each spin class at their studio, for the purposes of building and fire safety, as well as for practical and logistical reasons associated with the management of the spin class.

Eventbrite: 

  • Eventbrite sells tickets to our spin classes via their online ticketing platform. When a booking is made via their platform some personal data associated with your booking is shared with us, as the event host.

Gymbox:

  • We host spin classes at various Gymbox locations in London. 

  • Gymbox require folks who use their studios, including those who attend our spin classes there, to complete a health statement form, via which they collect personal data.

Revolt Cycling:

  • We host spin classes at Revolt Cycling in London.

East of Eden:

  • We host spin classes and events at East of Eden in London.

We do not sell or rent your personal information to third parties. 

Storage & security

Your personal data is securely stored on password protected devices.

We take reasonable measures to protect your personal information from unauthorized access, use, or disclosure. However, no method of transmission or storage is 100% secure, so we cannot guarantee absolute security.
